Home Appliance RFQ Checklist for Importers: What to Send Before Requesting a Quote

·AMAZ

A useful request for quotation gives each supplier the same purchasing brief. Before contacting a supplier, review the current AMAZ product categories, consider the intended application, and prepare the information below. The final model, availability and commercial terms are confirmed in the written quotation.

1. Start with the destination market

Name the destination country and distribution channel before discussing models. Electrical configuration, labels, language and document requirements can change by market, so a quotation prepared without this context may not be comparable.

  • Destination country or region
  • Importer, distributor or wholesale channel
  • Required voltage, frequency and plug
  • Required label and manual languages
  • Market-specific document requirements

2. Identify the exact product requirement

Use the product portfolio and current catalogues for initial selection, then convert the request into model-level requirements. A category name such as television, washing machine or freezer is not enough for an accurate comparison.

State which functions are essential, which are optional and which must not be changed. Ask the supplier to identify any proposed alternative rather than silently substituting a different configuration.

  • Product category and model reference
  • Required size, capacity or format
  • Core functions and included accessories
  • Colour or visible finish where relevant
  • Acceptable alternatives, if any

3. Prepare a quantity matrix

List the estimated quantity for every model or configuration. This helps the supplier check model-level MOQ, production planning and packaging requirements without treating the whole enquiry as one undivided quantity.

  • Model or configuration
  • Quantity per model
  • Sample requirement
  • Expected order timing
  • Whether mixed loading needs to be discussed

4. Define branding and packaging scope

If the order involves OEM or private-label work, describe the requested result instead of asking only whether OEM is available. Branding and packaging scope must be confirmed by product category and model.

  • Product logo and rating label
  • Carton artwork and shipping marks
  • Barcode or market label
  • Manual language
  • Accessory placement and packing list

5. Request documents for the selected model and market

A company document is not a substitute for product evidence. Review the published company and document information, then ask which reports apply to the quoted model and destination market.

Record the document holder, model number, standard, issue status, dates and market applicability. Do not rely on a certification logo or a report for a different product.

6. Ask every supplier for the same commercial fields

MOQ, price, lead time, payment, warranty and after-sales responsibilities can vary by model, configuration and order quantity. Request the same fields from each supplier and keep the final terms in the written quotation or agreement.

  • Quotation validity and trade term
  • MOQ by model
  • Sample terms
  • Production lead time and its starting point
  • Payment terms
  • Warranty and spare-parts responsibility

7. Use a copy-ready RFQ checklist

A short, structured request is easier to answer than a long message with missing commercial details. Buyers can use this sequence when preparing an enquiry.

  • Company and destination market
  • Product and model requirements
  • Quantity by model
  • Electrical and language requirements
  • Branding and packaging scope
  • Required product documents
  • Requested commercial terms

8. Send the brief and keep one approved version

Send the same version to every shortlisted supplier. If a requirement changes, update the document and revision date so quotations remain comparable. When your brief is ready, contact AMAZ with the product, market, quantity and configuration details.

RFQ questions from importers

Should one RFQ cover several product categories?

It can, but quantities, specifications and required documents should be separated by category and model.

Can I request a quotation without a model number?

Yes. Describe the market, application and required configuration so a suitable model can be discussed. Final availability still needs confirmation.

Are website specifications final order specifications?

No. Website and catalogue content supports initial selection. The final specification is confirmed in the quotation and order documents.
